Module 09

Reports

Reports is where you see what the shop actually did. How much you sold today, which medicines make you the most money, how much GST you have to pay, what your shelf is worth, what is about to expire, and what is just sitting there. Everything here is built from the bills, purchases and payments you already recorded. You do not enter anything new on this screen.

In the app this screen is called Reports and it opens with a row of tabs across the top.

What you can do here

  • See every bill for any date range, with totals for bills, sales and tax.
  • Tap any bill to see the exact medicines, batches and rates on it, then open or print that invoice.
  • See simple pictures of your sales: by day, by payment mode, by category, and your top selling products.
  • See your real profit, that is sale value minus what you paid for the goods, plus your most profitable products.
  • See a GST summary for any date range you pick.
  • Prepare the full monthly GST return files for your accountant, and download them as JSON, Excel or PDF. Pro (Full plan) only.
  • See what the stock on your shelf is worth, at cost and at MRP. A product by product breakdown is Pro (Full plan) only.
  • See a one page picture of what the shop owns and owes, and print it for your accountant. Pro (Full plan) only.
  • See batches that have expired or are close to expiry, sorted by date or by money at risk.
  • See medicines that are in stock but have not sold at all for 30, 60 or 90 days.
  • Download most lists as a CSV file that opens in Excel.

Who can download files

Downloads and print buttons are hidden from Counter Staff. The Owner and the Accountant see them. If you cannot find a CSV, Excel, JSON, PDF or Print button on a tab, you are signed in as Counter Staff. The report itself is still fully visible on screen.

If GST is off for your shop

If GST is switched off in your shop settings, the GST Summary and Monthly GST Return tabs do not appear at all. If you happen to be on one of them when GST is switched off, the app moves you back to Daily Sales.

Picking a date range

Daily Sales, Profit / P&L and GST Summary share one date range. Change it on any one of those three tabs and the other two follow. Charts has its own separate date range. Monthly GST Return uses a month picker. Financial Position uses a single "As of" date.

Steps

  1. Open Reports and tap the tab you want.
  2. Tap the From box and pick the first date.
  3. Tap the To box and pick the last date.
  4. Or skip both and just tap one of the round buttons under the dates: Today, 7 days, 30 days, This month, This FY or All time.
  5. The figures on screen refresh on their own. There is no Apply button.

Good to know

  • Today sets both dates to today. 7 days means today and the six days before it. 30 days means today and the 29 days before it.
  • This month runs from the 1st of the current month up to today.
  • This FY means the Indian financial year, 1 April to today. If today is in January, February or March, it starts from 1 April of the previous year.
  • All time goes back to the year 2000, so it covers everything you have ever recorded.
  • To is included in the range. A bill made on the To date is counted.
  • Daily Sales and GST Summary open with today's date in both boxes.
  • Charts opens with the last 30 days.
  • If you tapped a month on the Dashboard to get here, the From and To boxes are already filled with that month for you.

Daily Sales: see every bill

Steps

  1. Open Reports. The Daily Sales tab is already selected.
  2. Set your date range (see above).
  3. If you want, narrow the list further: - Min ₹: hide bills below this amount. - Max ₹: hide bills above this amount. - Payment: choose All modes, Cash, UPI, Card or Credit. - Sort by: Newest first, Oldest first, Amount: high to low, or Amount: low to high.
  4. Read the four boxes at the top: Bills, Gross Sales, Tax (CGST+SGST) and Net (Taxable).
  5. Read the table below: Invoice, Date, Payment, Taxable, Tax, Total.
  6. To undo the filters, tap Clear. It only appears once you have changed something.
  7. To take the list out of the app, tap CSV.

Good to know

  • The four boxes at the top follow your filters. Filter to UPI only and the boxes show UPI only.
  • Gross Sales is the full bill amount including tax. Net (Taxable) is the value before tax. Tax is CGST plus SGST added together.
  • Clear resets Min, Max, Payment and Sort. It does not reset the dates.
  • The CSV button is greyed out when there are no bills in the list.
  • The downloaded file is named like sales-2026-07-01_to_2026-07-20.csv and has these columns: Invoice, Date, Payment, Taxable, CGST, SGST, Total.
  • CSV files from the app open straight in Excel with Indian text intact.
  • If the list fails to load you get a red message and a Retry button. Tap Retry.

Daily Sales: open one bill and see the medicines on it

Steps

  1. On the Daily Sales tab, tap anywhere on a bill row.
  2. A window opens titled with the invoice number and the bill date.
  3. Read the line items: Product, Batch, Expiry, Qty, MRP, GST%, Line Total.
  4. At the bottom right you see Taxable, CGST, SGST and Total for that bill.
  5. To get a printable copy, tap Open / Print Invoice. The app takes you to the invoice page for that bill.
  6. To go back, close the window.

Good to know

  • This works on every bill in the list, on phone and on computer.
  • The batch and expiry shown are the exact ones that went out on that bill, not today's stock.
  • If a bill somehow has no items recorded, the window says so instead of showing an empty table.

Charts: see your sales as pictures

Steps

  1. Open Reports and tap Charts.
  2. Set the From and To dates, or tap a preset button: Today, 7 days, 30 days, This month, This FY, All time.
  3. Wait a moment while it says "Loading charts".
  4. Read the four charts.

The four charts

Good to know

  • The Charts tab keeps its own dates. Changing dates here does not change the Daily Sales tab, and the other way around.
  • Even if you pick a 90 day range, the day chart only draws the last 14 days with sales in it. The other three charts use your whole range.
  • Products with no category on them are grouped under Other.
  • If there is nothing in the range, the chart says "No data in range" instead of drawing an empty picture.
  • There is no download button on this tab. To get the underlying numbers, use the CSV on Daily Sales.

Profit / P&L: see what you actually earned

Steps

  1. Open Reports and tap Profit / P&L.
  2. Set the date range, or tap a preset.
  3. Read the four boxes: Revenue, Cost of goods, Profit and Avg / bill.
  4. Scroll down to Most profitable products to see where the money came from.

What the numbers mean

Box Meaning
Revenue What you sold for, in the range. Under it: how many bills and how many units
Cost of goods What you had paid for exactly those goods
Profit Revenue minus cost of goods. Under it: the margin as a percentage of revenue
Avg / bill Revenue divided by the number of bills

The Most profitable products table lists your top 10 by profit, with Product, Units, Revenue, Cost and Profit.

Good to know

  • Profit here is sale value minus the batch cost of the items sold. The cost is taken from the exact batch each item was billed from, so if you bought the same medicine at two different rates, each sale uses its own real cost.
  • This is gross profit on goods. It does not subtract rent, salaries, electricity or any other shop expense.
  • The margin percentage only shows when there is some revenue in the range.
  • This tab has no CSV download.

GST Summary: quick GST figures for any date range

This tab is only there if GST is switched on for your shop.

Steps

  1. Open Reports and tap GST Summary.
  2. Set the date range, or tap a preset.
  3. Read the four boxes: Taxable Value (with the number of invoices under it), CGST, SGST and Invoice Total.
  4. Below that, the Output GST card breaks it out line by line: taxable value, CGST payable, SGST payable and the gross total.

Good to know

  • This tab always uses every bill in the date range. The Min ₹, Max ₹ and Payment filters you set on the Daily Sales tab do not apply here, on purpose, because GST is filed on all your sales.
  • Use these figures as a reference. For the actual monthly filing, use the Monthly GST Return tab, which also handles return notes.
  • This tab has no download button.

Monthly GST Return: prepare the files for your accountant

Pro (Full plan) only. On the Lite plan this tab shows an upgrade card instead. To upgrade, write to info@entyti.com. This tab is also only there if GST is switched on for your shop.

Pick a month, download the files, and send them to your accountant. They contain what is needed to file the monthly GST return.

Steps

  1. Open Reports and tap Monthly GST Return.
  2. Tap the Month box and pick the month you want, for example July 2026.
  3. Choose which file you need: - Sales details, marked GSTR-1, is the full sales breakdown. - Tax summary, marked GSTR-3B, is the short tax figure.
  4. Wait while it says "Preparing Jul 2026".
  5. Check the figures on screen.
  6. Download it in the format your accountant wants: - JSON: the raw data file. - Excel: a spreadsheet with a separate sheet for each part. - PDF: opens a clean printable page. In the print window, choose "Save as PDF".
  7. Send the file to your accountant on WhatsApp or email.

What you see on Sales details (GSTR-1)

  • Four boxes: Taxable (net) with the month and your GSTIN under it, CGST, SGST, and Bill Value (net) with the count of bills and return notes under it.
  • Sales by GST rate, net of return notes: one row per GST rate, with GST Rate, Taxable, CGST, SGST and Value.
  • Return notes by GST rate: the same layout, and it only appears if you actually raised return notes that month.

What you see on Tax summary (GSTR-3B)

  • Four boxes: Taxable (net), CGST payable, SGST payable and Total tax, with the bill and return note counts underneath.
  • How it adds up: three rows, your Sales, then Less: return notes, then To report (net). This last row is what your accountant puts in table 3.1(a) of the monthly tax summary.

What is inside the Excel file

For Sales details you get four sheets: B2C (net), Sales gross, Return notes, and Docs issued. The Docs issued sheet lists how many tax invoices and credit notes you raised that month and the first and last number of each, which the department asks for.

For Tax summary you get one sheet with the 3.1(a) figure and the workings under it.

Good to know

  • All your sales are treated as retail, that is B2C. The app does not record buyer GSTINs, so there is no B2B section.
  • Return notes appear as Credit Notes in the file your accountant reads, with the prefix CN. Bills appear as Tax Invoice, with the prefix INV.
  • The month you pick always runs from the 1st to the last day of that month. The app works out the last day for you, including February.
  • Downloaded files are named after the return and the month, for example gstr1-2026-07.xlsx.
  • The PDF option opens a new window. If nothing happens, your phone or browser blocked the pop-up. Allow pop-ups for the app and try again. The app will tell you if this happens.
  • If a download fails you get a red "Export failed" line with the reason. The report on screen is not affected.
  • The three download buttons stay greyed out until the month has finished loading.
  • Counter Staff do not see the JSON, Excel and PDF buttons at all.

Stock Value: what your shelf is worth

Steps

  1. Open Reports and tap Stock Value.
  2. Read the four boxes: Stock at Cost, Stock at MRP, Potential Margin and Units in Stock.
  3. To take the full batch list out of the app, tap CSV.

Good to know

  • Stock at Cost is what you paid for everything still on the shelf. Stock at MRP is what it would fetch at full MRP.
  • Potential Margin is MRP minus cost. Remember MRP already includes GST, so this is not your take-home profit.
  • Units in Stock counts every unit. Under it you see how many products and how many batches that covers.
  • Only batches with stock left are counted. A batch that has run down to zero drops off.
  • The CSV file is named stock-valuation-2026-07-20.csv and lists one row per batch: Product, Batch, Expiry, Qty, Cost, MRP, Value at cost, Value at MRP.
  • If you have no stock at all, the tab says so and asks you to record a purchase first.

Stock Value: the product by product breakdown

Pro (Full plan) only. This is the lower part of the Stock Value tab, headed What each product is worth. On the Lite plan an upgrade card appears here instead. The four boxes above it stay visible on every plan. To upgrade, write to info@entyti.com.

Steps

  1. Open Reports and tap Stock Value.
  2. Scroll down to What each product is worth.
  3. Wait while it says "Valuing your stock".
  4. Read the table: Product, Packs, Loose, Value at Cost, Value at MRP. The biggest money is at the top.
  5. The last row shows how many products and batches, and the grand totals.
  6. To take it out of the app, tap CSV at the top right of that card.

Good to know

  • The list is sorted with the biggest money on the shelf first, so you can see where your cash is stuck.
  • Packs and Loose are shown separately, so a strip broken open for a single tablet is not counted as a full pack. A dash in the Loose column means nothing loose.
  • If any expired stock is still on the shelf, an orange line appears above the table telling you how much money that is. Remove those batches from stock and the line goes away.
  • The CSV here is named stock-value-2026-07-20.csv and has one row per product, with an extra Avg cost / pack column: Product, Packs, Loose units, Avg cost / pack, Value at cost, Value at MRP.
  • If it cannot load, tap Retry.

Financial Position: what the shop owns and owes

Pro (Full plan) only. On the Lite plan this tab shows an upgrade card. To upgrade, write to info@entyti.com.

A one page picture of what your shop owns and owes on any given date. Print it for your accountant, who then prepares the audited version.

Steps

  1. Open Reports and tap Financial Position.
  2. Tap the As of box and pick the date you want the picture for. You cannot pick a future date.
  3. Wait while it says "Working out the position".
  4. Read the four boxes: You Own, You Owe, Owner's Funds and Stock at Cost.
  5. Read the two cards below for the detail.
  6. To give a copy to your accountant, tap Print for accountant, then choose your printer or "Save as PDF".

Owner's funds is simply what you own minus what you owe, shown in green.

Good to know

  • These figures are indicative, not audited. They are built only from the bills, stock, purchases and payments recorded in the app. Cash you took out of the drawer without recording it will not show.
  • Under the Cash & UPI line the app spells out the working, so you can see exactly how the net figure was reached.
  • On the printed page the report carries its formal name, Balance Sheet, with your shop name, the as-of date, your GSTIN and address at the top. Inside the app it stays as Financial Position so it reads plainly.
  • The print opens in a new window. If nothing happens, allow pop-ups and try again. A red "Print failed" line tells you if something went wrong.
  • Counter Staff do not see the Print for accountant button.

Expiry List: catch stock before it goes bad

Steps

  1. Open Reports and tap Expiry List.
  2. Choose a Window: Already expired, Within 30 days, Within 60 days, Within 90 days, Within 180 days or All stock. It opens on Within 90 days.
  3. If you only care about the expensive ones, type an amount into Min value ₹. Batches worth less than that at cost are hidden.
  4. Choose Sort by: Expiry: soonest first or Value: high to low.
  5. Read the table: Product, Batch, Expiry, Status, Qty, Value at Cost.
  6. The last row shows how many batches you are looking at and the total money at risk.
  7. To take the list to your distributor, tap CSV.

Good to know

  • The Status tag is colour coded. Dark red means already expired, and tells you how many days ago. Red means 30 days or less to go. Orange means more than 30 days to go.
  • The day windows include already expired batches too. Choosing Within 90 days shows everything expired plus everything expiring in the next 90 days. Pick Already expired if you want only the expired ones.
  • Only batches with stock left appear. A finished batch does not clutter the list.
  • Min value ₹ compares against value at cost, that is quantity multiplied by what you paid.
  • The CSV is named expiry-2026-07-20.csv with columns: Product, Batch, Expiry, Days to expiry, Qty, Value at cost. Days to expiry is a negative number for batches that already expired.

Dead Stock: find the money that is not moving

Steps

  1. Open Reports and tap Dead Stock.
  2. Choose No sales in the last: 30 days, 60 days or 90 days. It opens on 60 days.
  3. Read the table: Product, Generic, Rack, Qty in Stock, Blocked Value (Cost).
  4. Under the table you see the Total blocked value, that is the money sitting idle.
  5. To take the list out of the app, tap CSV.

Good to know

  • A product appears here only if two things are true: you still have stock of it, and not a single unit of it was billed inside the window you chose.
  • The list is sorted with the most expensive dead stock at the top.
  • Rack helps your counter staff physically find it. If you have not set a rack or a generic name on the product, a dash appears.
  • If nothing is dead, the tab tells you everything in stock has moved in that window.
  • The CSV is named dead-stock-2026-07-20.csv with columns: Product, Generic, Rack, Qty in stock, Blocked value (cost).

Common questions

Why do my Daily Sales totals and my GST Summary totals not match? The Daily Sales boxes follow your Min ₹, Max ₹ and Payment filters. The GST Summary always uses every bill in the date range. Clear the filters on Daily Sales and they will match.

I changed the dates on the Charts tab and Daily Sales did not change. Is that a bug? No. Charts keeps its own dates. Daily Sales, Profit / P&L and GST Summary share one set of dates between them.

Where are my download buttons? Counter Staff cannot download files. Sign in as the Owner, or ask the Owner to add your accountant as an Accountant user, who can view and download reports but cannot change anything.

I tapped PDF or Print and nothing happened. Your browser blocked the new window. Allow pop-ups for the app and tap again. The app shows a message saying pop-ups are blocked.

Does the profit figure include my rent and salaries? No. Profit here is sale value minus the cost of the goods sold. Shop expenses are not part of it.

Why is my Potential Margin on Stock Value bigger than my real profit? Because MRP includes GST, and you rarely sell every item at full MRP. Treat it as the best case, not as earnings.

My Financial Position shows less cash than I have in the drawer. Why? It only counts money that passed through the app: bills recorded, refunds given, and payments made to distributors. Anything you did not record will not appear. It is indicative, not audited.

Can I file my GST return straight from the app? No. The app prepares the figures and the files. Your accountant does the actual filing on the GST portal. Send them the Excel or PDF from the Monthly GST Return tab.

Why does my GSTR-1 have no B2B section? Because the app records retail sales and does not capture buyer GSTINs. Everything is reported as B2C.

A medicine shows in Expiry List but I already threw it out. Remove it from stock first. The list only shows batches that still have quantity against them in the app.
