Module 10

Assistant

The Assistant is the part of Entyti Medical you can just talk to. Type a line, speak a line, or photograph a customer's chit, and the app either does the work for you (makes a bill, adds stock, takes a return, drafts a supplier order) or answers your question (today's sales, who owes money, how to do something in the app). Nothing is saved to your books until you tap Confirm.

What you can do here

  • Bill a counter sale by typing or speaking, for example "Sell 2 Dolo 650 and 1 Crocin".
  • Photograph a customer's list and turn it into a bill.
  • Repeat a customer's last purchase in one line, for example "Repeat Rahul's last order".
  • Add stock in words, for example "Received 20 Dolo 650, batch A12, expiry 2027-05, MRP 32".
  • Take a return against an invoice and refund the customer.
  • Get a reorder draft of everything at or below its reorder level, and send it to your supplier on WhatsApp.
  • Ask for numbers: today's sales, profit, low stock, near expiry, and item-wise sale records as a neat table.
  • Ask how to use the app, for example "How do I accept UPI payments?", and get a short answer plus a one tap shortcut to that screen.
  • Ask for a guided tour of a task and watch the app point at the exact button.
  • Ask for simple over the counter suggestions for a common complaint, checked against your own stock.

There are two places to reach it.

The bubble is hidden on Assistant, Quick Sale and POS Billing, because those screens already have their own tools.

Ask or tell it something (Assistant page)

Steps

  1. Tap Assistant in the left menu.
  2. Type your line in the box at the bottom, for example sell 2 Dolo and 1 Crocin, and press Enter or tap the send arrow.
  3. If you would rather speak, tap the microphone button next to the box, say your line, then tap it again to stop.
  4. Wait for Working… to finish. The answer appears in the chat.
  5. If the answer includes a review card (sale, stock, return), check it and tap Confirm. See the sections below.

Good to know

  • On an empty screen the app shows five ready made examples you can tap instead of typing: Sell 2 Dolo 650 and 1 Crocin, Repeat Rahul's last order, How do I accept UPI payments?, Where do I see who owes me money?, What's today's sales?
  • The microphone records for up to 7 seconds and then stops on its own, so a forgotten tap does not keep recording. If the app cannot use the mic, allow microphone access in your browser.
  • Hinglish counting works. "do" and "2" both mean 2.
  • The Assistant remembers the last few lines of the same conversation, so you can follow up with "make it 3" or "for Rahul".
  • Your typed line is limited to about 1000 characters. Keep commands short.
  • The Assistant needs internet. When you are offline the box is disabled and a grey note says the Assistant pauses and resumes automatically when you reconnect. Billing keeps working offline, and the left menu shows an "Offline, AI paused" tag.
  • Answers come back formatted: lists as bullet points, records as a table you can scroll sideways on a phone.
  • If a command is too complicated the app replies "Couldn't finish that, try a simpler command." Break it into two shorter lines.

Make a sale by talking or typing

Steps

  1. Open Assistant.
  2. Say or type the sale, for example sell 2 Dolo 650 and 1 Crocin to Rahul 9876543210, upi.
  3. The app looks up your live stock and shows a Review sale card with each item, the quantity, the rate, the line total, the payment mode, the customer name if you gave one, and the grand total.
  4. Check the card.
  5. Tap Confirm & bill to record it, or tap the X button beside it to cancel.
  6. After it is billed a green line shows the invoice number and total, with two buttons: WhatsApp to send the bill to the customer, and Print to open the printable invoice.

Good to know

  • The Assistant never invents a product. It only bills medicines that exist in your Inventory and have stock.
  • The price used is the MRP of the batch that expires first, and the app sells from that batch.
  • If you ask for more than you have, the quantity is reduced to the stock you actually hold.
  • Anything it could not find is listed in amber under the card as "Not found". Those items are simply left out.
  • If you give a phone number, the app looks for that customer first and reuses them. If there is no match, a new customer is created with the name you gave, or "Walk-in" if you gave only a number.
  • Payment defaults to cash unless you say upi, card, or credit.
  • Nothing is written to your books until you tap Confirm & bill.

Bill from a photo of the customer's list

Steps

  1. Open Assistant.
  2. Tap the camera button next to the microphone.
  3. Take a photo of the customer's chit or list, or pick one from your phone.
  4. The app reads the items and quantities, then sends them as a sell command by itself.
  5. Check the Review sale card and tap Confirm & bill.

Good to know

  • The photo is shrunk on your phone before it is sent, so it uploads quickly even on a weak connection.
  • If nothing readable is found you get a message saying no items were read from the photo. Retake the photo in better light, or type the items.
  • Reading the photo does not use an AI run. The sell command it creates does.
  • The camera button needs internet and is greyed out when you are offline.

Repeat a customer's last order

Steps

  1. Open Assistant.
  2. Type or say repeat Rahul's last order, or Rahul's usual, or same as last time for 9876543210.
  3. The app finds the customer, rebuilds their most recent bill, and shows a Review sale card.
  4. Tap Confirm & bill.

Good to know

  • You can name the customer or give their phone number.
  • Prices are today's prices from the batch that expires first, not the old prices.
  • Any item from that old bill that is now out of stock or deleted is skipped and listed as "Not found".
  • If the customer has no past sale, the app tells you so and stops.

Add stock by talking or typing

Steps

  1. Open Assistant.
  2. Say or type the goods received, for example add 20 Dolo 650, batch A12, expiry 2027-05, MRP 32.
  3. A Review stock-in card shows the product name, quantity, batch number, expiry and MRP. If the product is not in your Inventory yet, the heading says "Review stock-in (new product)".
  4. Tap Confirm & add, or the X button to cancel.
  5. A green tick reading "Added" confirms it.

Good to know

  • Expiry can be given as a month (2027-05) or a full date (2027-05-31). A month is stored as the last day of that month.
  • If you do not give a batch number, the batch is saved as NA.
  • If you do not give an MRP, the card shows an amber line saying no MRP, set the price later in Inventory.
  • A brand new product is created with strip as its unit, and in the Medicine category unless you named a category in your line. Open Inventory afterwards to set category, tablets per strip, schedule and reorder level.
  • This adds a batch to stock. It does not record a supplier bill or your purchase cost. For that, use Purchases.

Take a return and refund

Steps

  1. Open Assistant.
  2. Say or type the return, for example return 2 Dolo from invoice 42, or just customer returning 1 Crocin to use the most recent bill.
  3. A Review return card appears with the invoice number, each item, how many you are returning out of how many were sold, and the refund amount.
  4. Check it and tap Confirm return, or the X button to cancel.
  5. A message confirms the return and the refund amount.

Good to know

  • If you do not give an invoice number, the app uses your latest sale.
  • The stock goes back into the original batch it came from.
  • The refund is recorded as cash.
  • If part of that line was already returned earlier, the app only allows what is left, and shows anything fully returned under "Skipped".
  • The refund per item is worked out from the original line amount, so any discount on the bill is respected.

Draft a reorder for your supplier

Steps

  1. Open Assistant.
  2. Type or say what should I reorder, or draft an order.
  3. A Reorder draft card lists each product at or below its reorder level, how many you have now, and how many to order.
  4. Tap Send order on WhatsApp to open WhatsApp with the list already written out under your shop name.
  5. Choose the supplier's chat in WhatsApp and send.

Good to know

  • Suggested quantity is roughly twice your reorder level minus what is left, and never less than your reorder level.
  • The list shows the items with the least stock first, up to 40 products.
  • Set a sensible reorder level for each product in Inventory, otherwise nothing will be picked up.
  • This drafts a WhatsApp message. It does not create a formal purchase order document. Full plan users can raise proper distributor orders from the Distributor Orders menu (Pro).
  • The bubble assistant has a Reorder button that writes a longer reorder plan grouped by supplier, as text rather than a card.

Ask for numbers and records

Steps

  1. Open Assistant. Exact numbers and record lists come from the Assistant page, not the bubble.
  2. Ask in plain words, for example: - What's today's sales? - Show my profit for the last 30 days - Which items are low on stock? - What's expiring in the next 60 days? - Paracetamol sold today - Dolo sales this week - What did Rahul buy?
  3. Read the answer. Record style questions come back as a table with date, invoice, product, quantity, unit, payment mode and amount.

Good to know

  • Numbers are read live from your own shop data. The app does not guess.
  • For record lists you can ask for today, yesterday, the last 7 days, the last 30 days, this month, or all time, or give exact dates.
  • A record list shows up to 60 rows, with the total quantity and total amount.
  • On a phone, a wide table scrolls sideways. Swipe across it.
  • The unit column shows "pack" for a full strip or pack and "tab" for loose tablets.
  • The bubble on other screens works from a shorter summary of your stock and your last 30 days of bills. It is fine for a general question, but ask the Assistant page when you want an exact figure or a record list.

Ask how to use the app

Steps

  1. Open Assistant.
  2. Ask your question in plain words, for example Where do I see who owes me money? or How do I accept UPI payments?.
  3. Read the short answer.
  4. If a button appears under the answer, such as Open Outstanding, tap it to jump straight to that screen.

Good to know

  • The Assistant knows these screens: Dashboard, Assistant, Quick Sale, Inventory, POS Billing, Purchases, Outstanding, Reports, Billing, Settings and Offline sync. Ask what any of them does. Distributor Orders is not in its guide yet, so ask about that one in Purchases terms or open the menu item directly.
  • For a "where is it" question you get the answer in words plus the shortcut button. For a "how do I do it" question you usually get a guided tour instead. See the next section.

Guided tours

Steps

  1. Open Assistant.
  2. Ask a how to question, for example how do I make a quick sale with the camera.
  3. The reply shows a short numbered list of the steps, and a button such as Show me, Quick Sale with the camera.
  4. Tap the button. The app moves to the right screen, dims the rest of the page and puts a ring around the exact button you need, with a small card explaining it.
  5. Use Next and Back to move through the steps. Tap Done on the last one.
  6. To leave at any point tap Skip tour, or the X in the corner of the tour card.

Good to know

  • A tour never starts on its own. It only runs when you tap the button.
  • Tours are task sized. There is one for Quick Sale with the camera, Quick Sale by voice, adding stock with the camera, adding a product by hand, recording a purchase from a supplier bill, accepting UPI payments, and seeing who owes you.
  • Ask for a general "show me around" and you get the full app tour, ten steps from Dashboard to Settings.
  • The very first time you sign in after finishing setup, a small welcome card appears at the bottom of the screen offering "Take a quick tour?". Tap Start tour, or Maybe later to dismiss it. It is offered only once.
  • During a tour the highlighted button is still tappable, and the matching menu item on the left is highlighted too.
  • If the app cannot find the exact button on that screen, for example because it is hidden on a small phone, the tour still runs and the card simply appears at the bottom.

Ask for over the counter suggestions

Steps

  1. Open Assistant.
  2. Describe the complaint in plain words, for example headache and cold.
  3. The app suggests only common non prescription items such as paracetamol, cetirizine, antacid, ORS or cough syrup, and checks which of them you actually have in stock.
  4. If in stock items are suggested, a Review sale card appears. Check it and tap Confirm & bill.

Good to know

  • This is not medical advice. You are the pharmacist and you decide. The app says so in its reply.
  • The Assistant will never propose a Schedule H or H1 prescription medicine this way. Use POS Billing for those, where the Schedule H register is kept.
  • Only items you have in stock are proposed.

The Assistant bubble on other screens

Steps

  1. Tap the round sparkle button at the bottom right. It is on every screen except Assistant, Quick Sale and POS Billing.
  2. Type your question in the box and press Enter or tap the send arrow.
  3. Or tap Expiry rescue for a plan to clear batches expiring within 90 days, or Reorder for a draft purchase plan grouped by supplier.
  4. Tap New to start a fresh conversation, the expand icon to open the full Assistant page, or X to close the panel.

Good to know

  • The bubble answers questions and writes plans. It cannot bill, add stock or take a return. Use the Assistant page for those.
  • Its conversation stays with you as you move between screens, and survives a page refresh. Tap New to clear it.
  • A green dot on the closed bubble means an answer is still being prepared.
  • On the free plan and during the trial the panel header shows how many AI runs you have left. On the Full plan it shows a Pro badge.
  • Expiry rescue looks at batches expiring within 90 days and suggests, per batch, whether to discount, bundle, return to the supplier, or write off.

AI runs and what uses one

Steps

  1. Look at the left menu. Under the menu items it shows Free AI runs left with your number. On the Full plan it shows the infinity sign.
  2. Open Billing in the left menu to see your plan and your AI credits balance. Billing shows only on an Owner login.
  3. To add credits or move to a higher plan, use the contact link shown there or write to info@entyti.com.

Good to know

  • One run is counted every time you send a message to the Assistant, whether you typed it, spoke it, or it came from a photographed list. It is counted whether or not you tap Confirm afterwards.
  • One run is also counted for each Expiry rescue and each Reorder tap in the bubble.
  • Tapping Confirm & bill, Confirm & add or Confirm return does not use a run. Neither does sending the WhatsApp order, printing a bill, or running a guided tour.
  • Reading a photo and turning speech into text do not use a run on their own.
  • Billing, inventory and reports are not affected by AI runs. They keep working normally.
  • When your free runs are finished the Assistant is replaced by an upgrade card and nothing more is sent to the AI. Your data stays exactly as it is.
  • On the Full plan (Pro) the Assistant runs are unlimited.

Common questions

Will it record a bill without asking me? No. Sales, stock-in and returns always show a review card first and only save when you tap Confirm. Reorder drafts and answers never write anything at all.

What if it picks the wrong medicine? Tap the X next to Confirm to cancel, then say the exact product name as it appears in your Inventory, or bill it from Quick Sale instead.

Why does it say "Not found" for one of my items? Either that product is not in your Inventory, or every batch of it is finished or expired. Add it in Inventory or add fresh stock, then try again.

Does it work without internet? No. The Assistant, the microphone and the camera reading all need internet. The box is disabled and a note appears when you are offline. Billing continues to work offline, and the Assistant comes back on its own when you reconnect.

Does it remember what I said earlier? Yes, the last few lines of the same conversation. So "make it 3" after a sale line works. The bubble conversation is kept even if you refresh the page. Tap New to start clean.

Can my counter staff use it? Yes. The Assistant page is available to anyone who can bill, so Owner and Counter Staff both get it. A read only accountant login does not get the Assistant menu item, but the sparkle bubble is still there for questions.

Can it suggest a prescription medicine for a symptom? No. It only ever suggests common over the counter items, and only ones you have in stock. Schedule H and H1 medicines must go through POS Billing with the register.
