Module 15

Working Without Internet

Shop internet drops. The tower goes quiet, the recharge lapses, or the Wi-Fi router restarts in the middle of a rush. This part of the guide explains exactly what the app still does when that happens, and what it cannot do. Please read it before you rely on it, because the honest answer today is: the app stays open and keeps your saved copy of stock and bills on the phone, but you cannot make new bills without internet. Do not promise a customer a bill while the connection is down.

What you can do here

  • Open the app and move around the menu even with the phone offline, as long as you opened it at least once while online.
  • See a clear Offline mark in the app so nobody at the counter is confused about why things are slow.
  • Open the Offline sync page and see how many rows of your shop data are stored on this phone.
  • Press Force sync to make the phone talk to our servers again straight away instead of waiting.
  • Press Wipe local to clear the phone's stored copy and start it fresh.
  • Understand which buttons switch off while offline, and which ones come back on their own.

What does not work offline

The saved copy on the phone is there so the app opens fast and survives a flaky pharmacy connection. It is not yet a way to sell without internet. If offline billing is something your shop needs, write to info@entyti.com and tell us.

How to tell you are offline

The app watches the phone's own connection signal, so you do not have to check anything yourself.

Steps

  1. Look at the top bar on your phone. When the connection drops you get a small orange chip that says Offline next to your shop name.
  2. Open the menu. At the bottom, just above the Free AI runs left line, a second orange chip reads Offline with AI paused beside it.
  3. Open Offline sync from the menu. The top right of that page shows a green Online badge or an orange Offline badge.

Good to know

  • The mark appears and disappears on its own the moment the phone regains signal. You do not press anything.
  • On a very first load the app assumes you are online for a second, so the screen does not flash orange for no reason.
  • The chips are only a signal about your phone's connection. A phone can show Online and still have a slow or half-working connection, so if a page hangs, wait a moment and try again.

Open the Offline sync page

This page is the honest view of what is stored on this phone.

Steps

  1. Open the menu.
  2. Tap Offline sync. It is the last item in the list, with the crossed-out Wi-Fi icon.
  3. The page opens with the heading Offline sync.
  4. Under Local database you see the word status: and then either starting…, syncing or error.
  5. Below that, five rows, one for each kind of data kept on the phone.

The five rows are:

Good to know

  • Each row shows a number. Three dots (…) means the app has not finished counting yet.
  • The numbers refresh by themselves every two seconds while you sit on this page. You do not need to pull down or reload.
  • Copying data to the phone only runs while this page is open. When you leave the page it stops, and it starts again the next time you open the page. So if you want a fresh copy on the phone before closing the shutter, open this page for a minute while you still have internet.
  • The medicine list is copied down to the phone only. It is never changed from the phone. Bills, bill lines, batches and customers can go both ways.
  • Counter Staff and the shop Owner can see this page. The view-only Accountant login does not see it in the menu.

Force a sync

Use this when you have just come back online and do not want to wait.

Steps

  1. Open Offline sync.
  2. Tap Force sync, the outlined button with the circular arrows.
  3. Watch the five numbers. If new data comes down they change within a few seconds.

Good to know

  • The app already retries by itself every five seconds when something fails, so Force sync is only a shortcut, not a repair.
  • If two people changed the same bill or the same customer on two different phones, the last change to reach our servers is the one that is kept. There is no screen asking you to choose.
  • If nothing has changed since the last sync, the numbers stay the same. That is normal, not a fault.

Read an error on the Offline sync page

Steps

  1. Open Offline sync.
  2. If something went wrong, a red box appears under the five rows with the error text inside it.
  3. Note down or photograph the red text.
  4. Check that your phone is online, then tap Force sync.
  5. If the red box keeps coming back, send the photograph to info@entyti.com.

Good to know

  • The word error next to status: means the app could not even start copying data. The red box explains why.
  • A red box on its own, with status: syncing still showing, usually means one table failed while the rest are fine.
  • Errors here never damage your real shop data on our servers. This page is about the copy stored on the phone.

Clear the phone's stored copy

This deletes the copy on this phone only. Your real data on our servers is untouched.

Steps

  1. Open Offline sync.
  2. Tap Wipe local, the plain button with the bin icon.
  3. The page reloads by itself.
  4. The five numbers start from zero and fill up again as data is copied down. Stay on the page and stay online until they look right.

Good to know

  • There is no "are you sure" question. One tap and the local copy is gone. Only use it when told to, or when the numbers look clearly wrong.
  • Do this while you have internet. If you wipe while offline, the phone has nothing stored and the numbers stay at zero until you reconnect.
  • Pro. If your account has more than one shop, switching shops with the Your shop picker at the top of the menu wipes the local copy for you automatically and takes you back to the Dashboard. That is deliberate. It stops one shop's stock and bills sitting on the phone while you are working in another shop. Multiple shops are on the Full plan.

What switches off while you are offline

You do not have to remember this list. The buttons themselves grey out and tell you why.

Steps

  1. Open Assistant from the menu while offline. A grey line at the bottom reads Offline followed by Assistant pauses and resumes automatically when you reconnect. The typing box is locked and shows Reconnect to use AI. The send button, the microphone and the camera button beside it are all locked. Holding the camera button shows Needs internet.
  2. Open Inventory while offline. The scan button reads Scan (online) and cannot be tapped. Holding it shows Scan needs internet.
  3. Open Purchases while offline. The scan button reads Scan (online) and cannot be tapped. Holding it shows Scan needs internet, enter the bill manually offline.
  4. Anywhere you normally see the microphone button, offline it turns into a crossed-out grey microphone. Holding it shows Voice needs internet.

Good to know

  • Nothing needs to be switched back on. The moment the phone reconnects, every one of these buttons works again by itself.
  • Pro. WhatsApp auto-send is switched off while offline. The on/off switch is locked and the usage line reads Usage is not available offline. Bills fall back to the normal share-on-WhatsApp button. WhatsApp auto-send is on the Full plan.
  • The sidebar line Free AI runs left is about your plan's allowance, not your connection. It is a separate thing from being offline.

Install the app on the phone so it opens offline

The app can be added to your phone's home screen. Once added, it opens like a normal app and the main screens are kept on the phone.

Steps

  1. Open the app in your phone's browser while you have internet.
  2. Use your browser's menu and choose Add to Home screen or Install app.
  3. Open the app from the new icon at least once while still online, and visit the screens you use daily.
  4. Now, if the connection drops, tapping the icon still opens the app instead of showing a browser error page.

Good to know

  • The app always tries to load the newest screen from our servers first. Only if that fails does it use the copy stored on the phone. So you are never stuck on an old screen while online.
  • If you open a screen offline that the phone has never stored, the app falls back to the Dashboard rather than showing an error page.
  • The everyday screens are kept ready from the first install. Less-used ones, including Offline sync, Billing and Distributor Orders, are only kept once you have opened them at least once while online. Open them once on a good connection.
  • You must have signed in at least once on that phone. Signing in itself needs internet.

Common questions

Can I bill a customer when the internet is down? No. Quick Sale and POS Billing need internet today. The stored copy on the phone is not yet connected to billing. Write the sale on paper and enter it when you are back online.

Then what is the point of the Offline sync page? Two things. It keeps a copy of your medicine list, batches, bills and customers on the phone so the app opens fast and survives a weak connection. And it lets you check, in numbers, that the copy on this phone is healthy.

The numbers on the Offline sync page are zero. Is my data lost? No. Zero means nothing has been copied to this phone yet. Stay on the page while online for a minute, or tap Force sync. Your real data lives on our servers.

I left the Offline sync page and came back. Why did the numbers restart at three dots? The app counts them again from scratch each time the page opens. It takes a moment. The stored data itself did not go anywhere.

Does the app copy data in the background while I use other screens? No. Copying runs while the Offline sync page is open. Open it for a minute when you want the phone's copy refreshed.

Two staff billed the same customer on two phones. Which one wins? Whichever change reached our servers last is the one kept. The app does not ask you to pick.

I tapped Wipe local by mistake. What did I lose? Only the copy on that phone. Nothing on our servers is deleted. Stay online on the Offline sync page and the numbers fill up again.

The Offline badge shows even though my Wi-Fi looks connected. The app reads the phone's own connection status. Turn flight mode on and off, or switch between Wi-Fi and mobile data, then tap Force sync.

Will the Assistant answer later what I typed while offline? No. While offline the typing box is locked, so nothing is queued. Ask again once the connection is back.

Can I get offline billing for my shop? Not today. If it matters for your counter, tell us at info@entyti.com so we know to prioritise it.
